CONCLUSION


Conclusion
After 1 semester I learnt about this subject, I found that this subject is very interesting. This is because I finally can see the relation between information system and human resources activities. Due to the use of internet nowadays, we simply cannot avoid from use it. We must know on how to operate the system because nowadays, there are many organizations had transform the way they manage the company into more comprehensive and effective.

This is because there are many advantage of using the system which are cost and time effective, reduce work load, easy to handle and etc. however, there are also disadvantages of fostering the system into human resources activities such as hackers, spies, missing information and etc. this should be handle well by the department which had duty on it.

I also found that this subject is very important for me to learn well because it is much related with the job scope that I will involve when I am working in the future. Psychology is also related with human resource as it involved the well-being of employees and employers. So, I think it will be interesting if I try to transform the activities into systems.

Induction in Information System


Induction is the process of introducing the environment of organization to new employees. Online induction is exactly like the first definition but it use information system. Means that, employees are able to explore the environment within organization in front of their own personal computer. They do not have to really go at the organization because the system already has what they need.

There are several advantages of using online induction. First, is that organization is able to reduce cost and time to conduct induction. Employees will just have to sit back at their place and surf the system easily. Second are those employees do not have to undergo many bureau just to get contacts of several important people. Every information regarding the staffs and organization is already been included in the system and employees are able to easily to get information required.

 The disadvantage of using online induction is that employees might not get the feeling of being at the organization. They will not be able to know and feel the real feeling of being at the workplace. Their expectation toward the organization might be overly expect until they will feel down if what they hope for is not actually what it is. This will affect their motivation to work thus will also affect the productivity of organization.

So, we can see that in order to apply online induction, employer must make sure that they able to control the situation. They also must not rely on online induction itself but also do the traditional method by taking the employees to work site for a tour so that their expectation is realistic. From the tour, they can give explanations to the employees and employees also able to ask questions directly at that time. This also will help new employees to adapt with the environment in the organization.

Benefits Program


Benefits program is part from the topic Performance Management, Compensation, Benefits, Payroll and the HRIS. Benefits are something that will get by employees after they retire. They will get income even they had finished their service or retire. In Malaysia, common benefits that will get by employees are pension for government worker, SOCSO for private worker, EPF, KWSP and etc. All of these is to make sure that former employees’ life is still in good condition and they able to buy any other important things such as foods, bills, etc.

By applying online benefits program, it will give advantages both to the employer and employees. Employees are also able to access their information regarding the amount of money in their account and employers also able to reduce time and manage the organization effectively. However, there are also disadvantaged that will counter by employees and employers which are there might be hacker or industrial spy that will intrude the system and sabotage the organization and also to the employees. 

Employers must make sure that they have the ability to apply the system. They must make sure that they have the budget and skills needed to create the system. If they are not, then they should postpone it into any some other time until they can. If they still continue to apply the system even though they have the budget but lack of skills needed to handle the system, it will become big problem to employees as well as to the employers. Employees might not be able to access the system or employers cannot get the output or report from the system.

Even though we clearly can see the benefits of using this system, but we must not forget our abilities I order to make sure that the system will enhance organization’s management performances.

Training, Learning and Development


What I had learnt from topic Learning, Training and Development is that training is not only to generate skills and knowledge, but also to develop employees for future promotions. Training is very important to motivate employees and it shows that the organization is concern about the development of their employees. The cost to conduct training is very expensive, thus organization must come up with other method which is more cost-effective to deliver training to their employees.

There several matters that need to be consider by employer if they decided to use online training which are the resources, how the training should be carried out, who will facilitate the system and the period which the training should occur. If they abandon these requirements, they will not be able to conduct an effective online training to their employees.

The use of online training must also be presented in a user-friendly manner, meaningful, appropriate and the system also must able to support the organization’s strategy. This will help employees to understand how to access the system as well as supporting organization’s strategies.

There are several issue that I had understand regarding this topic which is the system must be align with HR strategies. This is to avoid any double-standard which can bring problems to the organization. Organization also must create a culture that can level-up the use of information system. This is to ensure that employees able to access the system well.  The third issue is that organization must make sure that they have the budget to run the system and also it is compatible with legal action. If organization have limited sources, it is better for them to not to apply the system yet until they afford to. The system also must comply with the guidelines and terms that been set up by the authority.

CONCLUSION FOR SELF-REFLECTIVE PART 1



After 7 weeks I learned about Human Resource Information System, now I understand about the role of information system in human resource activities. Many organization either big or small organization has been using information system to enhance their operation. The system is able to aid human resource management to manage their operation into more effective way. Employers must choose the most suitable systems and they also must provide all the skills and ability require. If not, organization will face other serious problems.
The use of technology has been a big help of many organization in sharing knowledge and information. A company situated in Africa is able to get information from a company in Indonesia. This is the most significant change that we can see nowadays. Even meeting also can be done by virtually. So, we do not have to travel far away which very costly.

People nowadays are frequently spending their time in front of their laptop and surf the information on the internet. That is why I think it is relevant for organization nowadays to apply online recruitment. This is because organization able to reach many qualified job applicants. However, there are several recruitment processes that need to be done by face-to-face. It is not only for recruitment, but other human resource activities such as training, performances appraisal and others are better manage with information system.

The class so far is being really interesting to me. This is because, before this, I had no idea what is the benefit of information systems. But now, I became slowly to understand the relation between information system and human resource activities. Even though I am still not familiarized with the term use, but I know with the lecture of Dr. Nur Naha and our tutor class with Mr. Ibrahim, I will able to follow and remember everything about this subject.




PERFORMANCE MANAGEMENT, COMPENSATION, BENEFITS, PAYROLL and the HRIS




Performances management, compensation, benefits, payroll, and the human resource information system are focus on exchange between employers and employees. Employees provide skills and ability and employers provide rewards. In order to get high reward, employees must shows excellent performances and employers must give reward to employees as they deserve.

Employers must apply the best performance appraisal process in order to get information regarding employees’ true performance. The process starts from employers setting objectives on what to be accomplished at the end of year by employees.  It is important for employers to make realistic target so that employees will be burden because of it has reach within their limitation. At the end of the year, employers review employees’ performances and see whether they reach the target or not. It is essential to give reward as they deserve to have. If there any target or element in the performances appraisal that is not agree by the employees, employees must reset or discuss about other objectives or target that achievable by the employees.

It is crucial to have an excellent system that able to process all the information about employees’ performances. The system must accurate and automatically update in order to avoid any misunderstanding of information to occur. Employees also are able to access the system so that they can check their current performances and make some improvements regarding their performances at workplace.

The function of performance management is very important to the organization. With performances management, human resource management able to decide on what suitable training and development should employees has and what hiring strategies should be made. Compensation and benefits system are able to retain excellent employees and motivate all employees to give excellent performances. With the help of systems technologies, employers manage to improve how they give report and analyze subordinate’s performances.

RECRUITMENT AND SELECTION IN AN INTERNET CONTEXT



On this chapter, now I understand the relationship between internet and recruitment of new employees. The main objective of recruitment is to attract and hire qualified job applicants for company’s productivity. In the mean time by applying e-recruitment, the company able to attract diversified background of job applicants. Thus, the company able to attract some qualified people.

There are several benefits of using e-recruitment which are minimize the cost of filling job openings, reduce time and increase efficiency in the process of gathering and sorting data. Many research conducted had proved these matters. By using e-recruitment, the company also able to reach mass of targets and the chances to get qualified applicants is bigger. However, there are also several disadvantages of using the systems which are systems breakdown, fraud and information overload where there are too many applicants, especially unqualified applicants.

The company must also ensure that the website is easy and user friendly. The website also incorporates secure and protective application in order to avoid hacking activities. It is also beneficial for the company to receive feedback from job applicants about the systems for systematic review and improvements.
From my readings, I also understand that from the system, employers not only gain the personal information of the applicants, but they also able to attach several assessment tools such as knowledge test, ability test, personality test and so on. This is to ensure that the company meets with the quality of applicants they want. However, there are several test that need to be done face-to-face such knowledge test, skills and ability test in order to avoid cheating.

Now, I realized that by using the system to recruit and select new employees, the company able to reach with many qualified job applicants. But, several considerations must take into this matter as not everything can be done by virtually. There are several matters that need to be assess lively to ensure that employers hire a good worker.
